How can I make changes to a student's history information or a permanent student's demographic information?
Changes to a student's history information or changes to a permanent student's demographic information can be made within the Edit Student Data screen in the Online Data Management (Schoolhouse) system. Step-by-step instructions for making changes to a student's history information or to a permanent student's demographic information can be found below.
NOTE: Students who are taking the STAAR assessments and who are first time Texas testers will not have records in SchoolHouse, so changes to demographic information cannot be made within SchoolHouse. Demographic information for these students can be updated in the Texas Assessment Management System if there is a student test warning associated with the student's record. Student test warnings can be resolved within the Texas Assessment Management System at Reports > Resolve Student Test Warnings. See the FAQ "How do I resolve a student test warning for STAAR?" (found in the Resolve Test Warnings subcategory at Resources > Frequently Asked Questions > Reports) for more detailed information about resolving warnings.
- Go to the Online Data Management (SchoolHouse) website.
- Enter the user ID and password that Pearson provided to your district testing coordinator.
- Accept the user agreement and enter account information (first-time login only).
- Click on the Student History tab, and then click the Student History Data subtab.
- Search for a student record and select the appropriate student name. (See the "Student History Data: Searching for Records" section of the Online Data Management User's Guide at Resources > Information > Manuals for information on how to view a student detail record.)
- Select Edit Student History button in the top-left corner of the screen. The Edit Student Data screen will be displayed.
- Updatable fields will be shown in the text boxes. Make your changes and then click the Save Student History button.
- Confirmation will be given for a successful update. An error message or directions will be given for an unsuccessful update.
- The Student History screen is refreshed showing the updated information.

A temporary student is a student who has been loaded by a student data file upload or has been manually entered and does not match a student in the Student Directory (which is based on PEIMS) and who does not have assessment history. The student's information exists in the Student Directory of the Texas Assessment Management System, but will not be a part of the PEIMS database until PEIMS is updated by TEA. Uploaded or created students are matched against a table containing historical and demographic student PEIMS data. Any uploaded or manually created student is considered temporary until successfully matched against the PEIMS dataset or until they have assessment history. Once a successful match is made or the student has tested, any uploaded or manually created student record is considered permanent.

Demographic information for a temporary student can be updated by a district at the student directory level (see "Editing a Student's Master Record" section of the User's Guide for the Texas Assessment Management System at Resources > Information > Technology Information). Access the Texas Assessment Management System and go to the Manage Student Directory screen. Temporary students are indicated with "Yes" in the Temporary column in the Student Directory.

A permanent student is one who is already in the Student Directory, either from the PEIMS snapshot or from having assessment history associated with the student record.
Temporary students are converted to permanent students either from the PEIMS upload or after a test administration is reported and assessment history is associated with the student's record.

You resolve student record changes for TAKS or TELPAS within the Record Changes tab of the Online Data Management (Schoolhouse) website. Districts will be able to correct issues during the resolve record changes window listed on the Calendar of Events. Information about resolving student record changes can be found in the District Testing Coordinator User's Guide for Student Record Changes (available at Resources > Information > Manuals) in the "Student Record Changes: Quick-Start Guide" section.
NOTE: For STAAR, this process is called resolving student test warnings and is performed in the Texas Assessment Management System.
